2. Corridor rating: Laura will review code to double check that 1 hour rating was

4. ANR Plan signed by City Planning Dept on 5/12.
5. Bruce Cleare requested list of submittals that will be required by MJA/FCD.

7. Bruce applied for building permit at City of Northampton.

Pre-Construction Conference: 09 May 1997
Present: Susan Swift, Director & BC; Herb Mayer, Treasurer & BC; Bob Raymond, Chair
BC; Bob Brick, President of Board & BC; Jonathan Wright, Skip Valencik (site
foreman), Bruce Cleare (job manager), Wright Builders, Inc.; Roger Cooney, Full
Circle Design; Laura Fitch, MJArchs.
ITEMS OF DISCUSSION:
1. Permit: Wright Builders needs a recorded plan before they car, proceed with building
permit application. Roger will go to City Hall from here. The inspector is away until
Tuesday.
2. Utility Survey: Skip said they will be marking utilities with orange lines soon.
3. Contract: The Contract was reviewed with particular attention paid to May 9th
clarification list.
4. Lighting: Wright Builders is carrying $7,474 allowance. They do not think the lighting
levels are adequate and cannot increase specified lighting without raising this allowance.
This will be handled with submittals (and Change Order if necessary).
5. Other items that will be specifically addressed at submittal stage: Ceiling tile, ceilings in
classrooms, VCT.
6. Decisions: Wright Builders will provide a spread sheet of the necessary decisions.
7. Paving: $9,451 allowance (includes bit. cone. & tree removal). Susan requested that
Wright Builders revise quote for new plan and with bituminous paving. The will ask
Conservation Commission to permit the parking paved and unpaved.
8. Change Orders:
a. Star Burst at East: no, they do not want this one.
9. Paddle fans: Wright Builders should clarify how many fans they are currently carrying.
Later Note: They have deleted a total of four fans, leaving a total of four (two per
classroom).
10. Ordering of Materials: Jonathan wanted to know at what point he is authorized to order
materials. It was generally agreed that a decision would be made on Monday, and that
signing of the Contract on this day, would trigger this authorization.
11. Who does what?: Laura would like to clarify the roles (particularly between herself and
Roger) during the construction period. She suggested that she should handle shop
drawings, attend job meeting (and provide minutes), and process any Change Orders.
Jonathan expressed concern about the lack of continuity, as he has been working with
Roger up until this point. He also said he will need very quick turn around on all
submittals because of the tight time frame. This will be worked out between Owner,
MJArchs, and Full Circle Design ASAP.

9. Trusses: Roger thought Rugg Lumber's price was high and had
requested that WB work directly with his manufacturer, but
they have not returned calls. Roger will try to get them to
respond.
10. Lighting:
a. Roger revised the lighting count (with original fixture
types) . WB to price.
b. They are carrying $7, 474 allowance, but have a credit
proposal for approx. $2,000 for increased lighting with
cheaper fixtures. Laura requested cuts of these
fixtures. -
11. Classroom Ceilings:
a. Laura clarified that the "Nubby" acoustic treatment
(alternate) was supposed to be 4' x 8' sheets (not
12"x12" as priced) . She will send information and WB
will look at price again.
b. Laura would also like to get price for glued on acoustic
tile; she will forward information.
12. Paving: Correction: the $9,451 allowance included traprock,
not bituminous. WB will re-price per new plan, paved, and
unpaved.
13 . Change Orders: Star Burst: pending. . .
NEW BUSINESS:
1. Prints: Jonathan would like a set of originals. Roger gave
him some.
2 . Trees: Root & Crown pruning should be done right away.
Jonathan said they are scheduled to drop trees on Monday, so
this could be done at same time. Roger said that for every i"
dia. trunk, construction should be held back 12" from trunk.
Anything within this limit would required pruning prior to
disturbing.
3 . Foundation Detail: 4" shelf for slab. This would leave 4
inches for 2x6 sole plate, allowing it to overhang the 1"
Thermal Break.
4 . Computer Wiring: Bob reported that there is a parent who has
volunteered to run phone, cable, & fiber optics for materials
cost only. Jonathan agreed to try to help make this work.
5. Plantings at North side of existing building: WB will dig up
and place against North wall of other classroom. School will
be responsible for mulching and watering until they can be
replanted.
The next meeting was scheduled for Thursday 22 May 1997 @ 8:00 am.

OLD BUSINESS:
1 . Permit: Foundation only permit received, allowing GC to do
anything up to and including the slab. Waiting period for
Planning Bd. is over on June 2nd when full permit can be
applied for. Wright Builders [WB] needs a copy of recording
sheet from the registry. Jonathan said they intend to dig on
Tuesday.
2 . Utilities: Dig safe has been called; and they will be cleared
to dig anytime after 4 pm Friday.
3 . Site Protection: a location for the site fence was agreed
upon by all parties. Jonathan said they will keep all
construction within fence, and fence intact, but that the
school is responsible to keep children from hanging on fence.
School is over on June 13th with Summer Program ( just one
classroom) starting a few weeks later.
4 . Who does what? Roger & Laura to attend weekly meetings (for
the start at least) ; Laura to keep minutes and handle most
business. Jonathan requested that minutes be done ASAP after
meeting and faxed to him.
5. Submittals:
a. Laura submitted a list of required submittals. She will
need 5 copies (LF, RC, Owner, Wright-2) . They should be
sent through MJArchs unless there is a pressing need to
have them faxed directly to Roger. One set of color
samples adequate.
b. Cubby shop drawings only required if they detail
differently; Library shelving needs detailing.
C. Heating/Ventilating: Ray Bennet to provide line drawing
as well as equipment cuts.
6. Phone List, Schedule of Values, & List of Subs to be supplied
by WB.
7. Concrete & Soil testing: As it would add two days to the
schedule (for lab results) , and the job is residential in
scale, it was decided not to require this. If the subsoils
under footings do not look good, Laura might like Ryan Hellwig
to take a look. WB will provide concrete mix data.
S. 8" stone to be deleted: This was required only for possible
radon mitigation (Energy Crafted Home) but is in conflict with
subslab ' 'pes (sanitary code) . Gravel backfill (in 10" lifts)
Will stAi be included.
